The Department
UWL is a sector leader in the provision of degree apprenticeships, with over 6 years of experience in the delivery of specialist degree level apprenticeship programmes. The apprenticeship portfolio covers computing, engineering, healthcare, built environment, business and leadership and other apprenticeships are in development. UWL is on the register of Approved Training providers and is also approved End Point Assessment Organisation for many of the apprenticeship standards we offer.
The Apprenticeship Office is a central professional service that manages the recruitment, onboarding, support, monitoring, and compliance of the apprenticeship provision.
The office has successfully grown the apprentice offer in UWL with over 24-degree apprenticeships – 17 approved standards at degree level, and within these there are a further seven specialist pathways. As the range of apprenticeships, we offer has expanded, so have the numbers of apprentices and employers who engage with us.
A significant part of the Apprenticeship Office’s role is to work with and support employers -we work with over 230 large corporates and SME’s.
Another key role of the office is to work with the Schools and Colleges in the university to provide the required continual monitoring of apprentice’s engagement to ensure funding compliance and external regulatory body requirements.
In recent years, Ofsted rated our Apprenticeship provision as ‘Good’ in all areas with an overall judgement of ‘Good’. The University was particularly commended for our effective partnerships with employers, responsiveness to local employment needs and enabling learners to develop in the workplace.
The Role
The main purpose of this administrator role is to support the development and maintenance of robust controls and procedures to ensure that the University’s apprenticeship meet with funding and other external stakeholder requirements.
The role involves working closely with:
- The Director of Apprenticeships and their delegates
- Head of Apprenticeship Funding and Data and their delegates
- Other internal stakeholders such as university enquiries and admissions, course leaders, apprentices, and employer contract managers.
The areas of responsibility for the role will include:
- Onboarding and enrolment
- Creating and administrating all documentation associated with the apprenticeship journey.
- Producing regular reports to demonstrate up-to date evidence of compliance/participation
- Monitoring and assuring compliance and quality of the apprenticeship funding documentation ensuring all learner files (evidence packs) are accurate, completed and audit ready at all times.
- Monitoring individual apprentices (and cohorts) engagement with the apprenticeship and weekly negative attendance reporting to employers
- Progress reporting to employers 3-4 times a year
- Monitoring and validating Off the Job hours reporting by apprentices
The apprenticeship administration role will be required to contribute to any internal or external funding audits and quality Inspections (Ofsted.) They will be responsible for running compliance audits checks on demand from the senior team, to check for completion and compliance.
The Person
We are looking for a suitably experienced, enthusiastic and detail-oriented administrator to support the journey of our apprentices from initial engagement to successfully completion.
They will be both internal and externally customer facing so they need to be confident when engaging with different stakeholders particular our business partners in an effective and appropriate manner to maintain the excellent relationships that have been built over the preceding years.
The office experiences periods of high volume and demand therefore resilience and to work under pressure at peak times is an essential skill.
Digital literacy and the confidence to work with a range of platforms in the creation and management of databases is required.
